How to Choose the Best School ERP Software in India (2026 Buyer's Guide)

Full disclosure before anything else: VedaLoop builds and sells a school ERP. You should read this guide knowing that. But bias cuts both ways — because we build one, we know precisely which demo tricks hide which weaknesses, and which "features" exist only on the pricing page. This is the checklist we'd hand a friend who runs a school.

First, what a school ERP actually has to do

Strip the jargon and an ERP is one promise: every routine school process — admissions, attendance, fees, exams, report cards, communication — runs through one system instead of fourteen Excel sheets and six WhatsApp groups. If a product can't keep that promise smoothly, nothing else about it matters.

The 2026 non-negotiables

  • A parent app that parents actually open. In 2026 the mobile app *is* the product. Attendance, homework, fee dues, report cards, announcements — on a phone, in seconds. If the demo starts and ends on a desktop dashboard, be suspicious.
  • Fee management with online payments and automatic reminders. This module alone usually justifies the entire cost — schools tell us fee follow-up is where most office hours quietly disappear.
  • Report cards your board actually uses. NEP-style descriptive assessments, term structures, your grading scheme — configurable, not "we'll customise it later" (later never comes).
  • Cloud-based, with your data exportable. You must be able to leave with your data. Any vendor who makes export difficult is telling you something important — believe them.
  • Role-based access. Correspondent, principal, teachers, accountant, parents — each sees exactly what they should. Multi-branch support if you have or plan a second campus.
  • Support in your language, in your time zone, on a phone. When fees go live and something breaks at 9 a.m., a ticket portal in English is not support. For schools in Telangana and Andhra Pradesh, ask directly: "Do you have Telugu-speaking support?"

Red flags we'd run from

  • Per-module pricing that balloons. The quote covers 5 modules; by month three you discover attendance, transport and exams are all "add-ons." Demand the all-in price for everything you'll use, in writing.
  • A demo that never touches the parent app. They're showing you the admin panel because the app embarrasses them.
  • No live schools you can call. Ask for two references from schools your size, in your region. A vendor with happy customers loves this question.
  • "Unlimited free customisation." Nobody does this profitably; it means either the price will move or the promises will.
  • They can't say where your data lives. Student data deserves a straight answer about hosting and backups.

Questions to ask in every demo

  • "Show me a parent paying a fee on the phone, start to finish."
  • "Show me generating one class's report cards with our grading pattern."
  • "What happens to our data if we stop working with you?"
  • "Who onboards our staff, how many sessions, and is it in Telugu if we need it?"
  • "What's the total annual cost for our student strength — no module fine print?"
