Cancellation & Refund Policy

Our cancellation and refund policy for all payments made through the VedaLoop platform.

Effective Date: March 31, 2026

1. Overview

This Cancellation & Refund Policy applies to all payments made through the VedaLoop platform (vedaloop.in), including but not limited to:

  • Course enrollment fees (AI/ML workshops, weekend programs)
  • Subscription fees for ERP plans (Plan A, B, C, or D)
  • Workshop registration fees and material charges
  • Any other service fees paid via the platform

All payments on VedaLoop are processed securely through Razorpay, a PCI-DSS compliant payment gateway. VedaLoop does not store any card or banking details directly.

2. Cancellation Policy

2.1 Course / Workshop Cancellations

  • 7+ days before start date: Full cancellation allowed. Eligible for a complete refund.
  • 3-7 days before start date: Cancellation allowed with a 25% deduction towards administrative and preparation costs.
  • Less than 3 days before start date: No cancellation or refund. However, the student may attend a future batch at no extra cost (subject to availability).

2.2 ERP Subscription Cancellations

Schools may cancel their ERP subscription at any time by emailing vedaloop.ai@gmail.com. Upon cancellation:

  • Access continues until the end of the current billing period.
  • No pro-rata refund for partially used billing periods.
  • School data will be retained for 30 days after cancellation before permanent deletion.

3. Refund Policy

3.1 Eligible Refund Scenarios

  • Course/workshop cancelled by VedaLoop — full refund guaranteed.
  • Duplicate or erroneous payment — full refund after verification.
  • Course cancellation within the eligible window (see Section 2.1 above).
  • Technical failure preventing access to a paid service for more than 7 consecutive days.

3.2 Non-Refundable Scenarios

  • Student does not attend the workshop/course after enrollment (no-show).
  • Cancellation request made less than 3 days before the course start date.
  • Dissatisfaction after completing more than 50% of the course/program.
  • Fees paid for digital marketing services after work has commenced.
  • Any promotional or discounted enrollments (unless cancelled by VedaLoop).

4. Refund Process

To request a refund, follow these steps:

  1. Send an email to vedaloop.ai@gmail.com with the subject line "Refund Request".
  2. Include your full name, registered email/phone, payment receipt or transaction ID, and reason for the refund.
  3. Our team will review the request and respond within 3-5 business days.
  4. If approved, the refund will be processed to the original payment method.

5. Refund Timeline

Once a refund is approved, the processing time depends on the payment method:

Note: Refund timelines may vary depending on your bank or payment provider. VedaLoop is not responsible for delays caused by third-party payment processors.

6. Cancellation by VedaLoop

VedaLoop reserves the right to cancel a course, workshop, or subscription under the following circumstances:

  • Insufficient enrollment to conduct a workshop (minimum batch size not met).
  • Unforeseen circumstances such as natural disasters, government restrictions, or public health emergencies.
  • Violation of our Terms of Service by the school or parent.

In all such cases, affected users will receive a full refund or the option to transfer enrollment to a future batch.
